Working remotely offers incredible flexibility, but it also comes with unique challenges. After years of building products for remote workers, here are five strategies we've found most effective.
1. Create a Dedicated Workspace
Your environment shapes your mindset. Even if you don't have a separate office, carve out a specific spot that's only for work.
Why it works: Your brain learns to associate that space with focus and productivity. When you sit down, you're mentally prepared to work.
2. Time Block Your Calendar
Instead of reacting to tasks as they come, proactively schedule blocks for:
- Deep work (2-4 hour blocks)
- Meetings and calls
- Email and admin tasks
- Breaks and personal time
Pro tip: Protect your deep work blocks like important meetings. They're just as valuable.
3. Use the Two-Minute Rule
If a task takes less than two minutes, do it immediately. This prevents small tasks from piling up and creating mental overhead.
Examples:
- Responding to a quick Slack message
- Filing a document
- Scheduling a meeting
4. Take Real Breaks
Staring at the same screen for 8 hours isn't productive. Schedule short breaks:
- Pomodoro Technique: 25 minutes work, 5 minutes break
- 90-Minute Cycles: Align with your natural ultradian rhythms
- Lunch Away from Desk: Reset your energy midday
5. End Your Day Intentionally
Remote work makes it easy for work to bleed into personal time. Create a shutdown ritual:
- Review what you accomplished
- Write tomorrow's priority tasks
- Close all work applications
- Do something physical (walk, stretch)
These aren't revolutionary ideas, but consistency is what makes them powerful. Pick one to start with this week.
Bonus: Tools That Help
The right tools can make a big difference:
- Grammarly — Keep your written communication clear and professional, especially important when async is your default
- Notion — Centralize your notes, tasks, and documentation in one place
- Screenshot Beautifier — Make your visual communication stand out in Slack and docs
